This policy explains how The DeBary Volunteer Firemen’s Association, Inc., doing business as The DeBary Volunteer Fire Support Team (“the Association,” “we,” “us” or “our”), uses donations, processes and ships orders from our online shop, and handles refunds, returns and replacements. It is part of our Terms and Conditions.
Effective date: October 30, 2026

1. How donations are used
The Association is a volunteer organization that has supported DeBary’s firefighters since 1953. Donations help us pay for the supplies, equipment and operating costs of that support. You can give to our general fund or to a designated fund in our shop:
- Firefighter Rehab Supplies Fund. Helps stock our support unit, Support 33, with the water, sports drinks, snacks, ice and other supplies our volunteers bring to emergency scenes so firefighters can rest, rehydrate and cool down. It also helps with items such as tents, fans and generators, and with emergency help like clothing for displaced residents. Learn more on What Does a Support Unit Do?
- Fire Station 39 Equipment Fund. Helps the Association provide supplies and equipment for DeBary’s new Fire Station 39, subject to the policies and acceptance of the agencies that operate the station.
- General support. Unrestricted gifts are used where they are needed most for our mission, including supplies, vehicle upkeep, insurance, and the costs of our community programs and events. See our Support page for other ways to help.
When you choose a designated fund, we use your gift for that purpose. If the designated need has been fully met or can no longer be met, we will use the gift for a closely related purpose consistent with our mission. Our members are volunteers, and donations are not used to pay them for their service.
2. Tax status: donations are not tax-deductible
The Association is a tax-exempt social welfare organization under section 501(c)(4) of the Internal Revenue Code. It is not a 501(c)(3) charity, so gifts to us cannot be claimed as charitable deductions on your federal income tax return. We make this disclosure under section 6113 of the Internal Revenue Code. In some cases, a payment may be deductible as a business expense; please consult a qualified tax professional. We are happy to provide a written receipt for your records on request.
3. Ways to give
- Online shop. Add a donation item to your cart and check out using check by mail or pay at local pickup.
- Check by mail. Make checks payable to “The DeBary Volunteer Firemen’s Association, Inc.” and mail them to PO Box 530853, DeBary, FL 32753-0853. If you placed an online order, please write your order number on the check or include a note.
- PayPal or Venmo. Some pages link to PayPal and Venmo, which are external services. Payments made through them are subject to their terms and policies.
- At our events. Such as our pancake breakfasts. See our Fundraisers page.
The Association never fundraises door to door. If someone asks you for money in our name in a way that seems unusual, please contact us before giving.
4. Donation refunds
Because donations are put to work quickly, donations are generally final and non-refundable. However, we understand that mistakes happen. We will refund a donation that was made in error if you contact us within 30 days of the donation date. Examples include:
- a duplicate donation;
- a donation of the wrong amount (for example, an extra zero); or
- a donation made without your authorization, such as fraudulent use of your account.
Refunds are issued using the same method as the original payment where possible: by check for donations paid by check or cash, and through PayPal or Venmo for payments made there. We do not charge a fee for refunding an error, but we cannot refund any fees charged to you by your bank or a third-party payment service. Requests made more than 30 days after the donation are considered case by case.
If an event you donated to attend is cancelled and not rescheduled, you may request a refund of any ticket or admission payment within 30 days of the cancellation, or let us keep it as a donation.
5. Challenge coin orders
Our 70th Anniversary Challenge Coin, which commemorates the Association’s founding in 1953, is $20 each. Learn more on our Challenge Coins page. A coin purchase is a purchase of goods, not a donation, but proceeds support our mission.
5.1 Processing times
Our shop is run by volunteers, so we ask for a little patience.
- Check by mail: orders are prepared once your check is received. Please allow time for the mail.
- Pay at local pickup: we will contact you to arrange pickup, usually within 5 business days of your order.
- Paid orders are generally shipped within 5 to 10 business days after payment is received.
- If we expect a delay, for example during a major emergency response, a holiday or a large order, we will let you know by email.
If we do not receive payment for a check-by-mail order within 21 days, we may cancel the order.
5.2 Shipping
- We ship by the U.S. Postal Service (USPS).
- We ship to addresses in the United States only.
- Shipping is a flat $7 for up to two coins.
- For orders of three or more coins, or for international delivery, please email [email protected] before ordering so we can quote the correct shipping cost.
- Delivery times depend on USPS and are not guaranteed. Once your order ships, we will send you a confirmation and, where available, tracking information.
- Please double-check your shipping address. If a package is returned to us because of an incorrect or incomplete address, we will contact you, and re-shipping may require an additional shipping charge.
5.3 Local pickup in DeBary
You can choose free local pickup at checkout. After you order, a volunteer will contact you by email or phone to arrange a convenient time and place in DeBary. If you chose “pay at local pickup,” you can pay when you collect your order, using a payment method we confirm with you. Please bring your order number. If an order is not collected within 30 days after we tell you it is ready, and we cannot reach you after reasonable attempts, we may cancel it.
6. Damaged, defective, incorrect or lost items
We pack coins carefully, but if something goes wrong, we will make it right.
- Damaged, defective or incorrect items. Contact us within 14 days of delivery. Please include your order number and, if possible, a photo of the item and packaging. We will send a replacement or issue a full refund, including shipping, at no cost to you. We may ask you to return the item, and if so, we will cover the return postage.
- Lost packages. If tracking shows your package as delivered but you have not received it, please check with neighbors and your local post office first. If your package has not arrived within 21 days after we shipped it, contact us. We will work with USPS and, where the package cannot be found, send a replacement or issue a refund.
7. Returns and exchanges
If you are not satisfied with your coin, you may return it within 30 days of receiving it, under these conditions:
- The coin is unused, in the same condition you received it, and returned in its original protective capsule.
- You contact us first so we can confirm the return and give you the return address.
- You include your order number with the return.
Unless the return is because of our error, you are responsible for return postage, and we recommend a trackable shipping method. Once we receive and inspect the coin, we will refund the item price. The original shipping charge is not refundable unless the return is because of our error. If you would prefer an exchange, such as a different quantity, let us know and we will do our best to help.
Coins that have been removed from their capsule and show handling, scratches or wear, or that are returned more than 30 days after delivery, may not be eligible for a refund.
8. Order cancellations
You may cancel an order at any time before it ships or is picked up by contacting us. If you have already paid, we will refund your payment in full. If you mailed a check that we have not yet deposited, we can return or destroy the check at your choice.
9. How to request a refund, return or replacement
To request a refund, return, replacement or cancellation:
- Email [email protected] for coin orders, or [email protected] for donations. You can also call 386-801-2469 or use our contact page.
- Include your name, your order number (if you have one), the date and amount of the order or donation, the payment method, and a short description of the issue. Add photos for damaged items.
- We will reply, usually within 5 business days, to confirm next steps.
- Approved refunds are generally issued within 10 business days after we approve the request or receive the returned item. Refunds by check are mailed to the address on your order. Please allow additional time for mail delivery.
10. Changes to this policy
We may update this policy, for example if our prices, shipping options or payment methods change. Changes will not affect orders already accepted. When we make changes, we will revise the “Last updated” date at the top of this page.
